My Club is organising an event as part of a larger community event or in collaboration with another car club. Does it need to be sanctioned?
a. Public Liability is the main consideration in this situation and liability for incidents occurring will ultimately depend on the circumstances. Your club should therefore manage risks they are responsible for, just like any other event. The additional insurance benefits of MembershipPLUS such as Voluntary Worker Insurance and Associations Liability Insurance don’t change so the same controls used for all club activities (eg records of all volunteers working under the direction of your club) continue to apply.
b. If your club is organising an event as a component of a larger event, such as holding a display day or a swap meet at local community event organised by someone else, then you should prepare a risk management plan to manage just the risks you are responsible for. If you are not organising the site, the vendors or traffic management and not managing or charging public entry, then they don’t need to be part of your planning. In such cases it might be assumed that Public Liability insurance is being provided by the other organisers for most risks and it would therefore be prudent to obtain a copy of their Certificate of Currency as part of your own risk management planning. If they do not have adequate insurance, then you need to reconsider your risk of participation.
c. If your club is organising an event in collaboration with another car club, then the clubs should identify their agreed responsibilities (shared or otherwise) and prepare a risk management plan accordingly. Whether or not the other club is a MembershipPLUS affiliate does not change your responsibilities for risk management so you should manage the planning to suit the risks you are responsible for.
d. In the above examples the criteria for needing Event Sanctioning does not change. If you are not organising the other event then just consider the event activities you are responsible for, however if there is any doubt then submit a Sanction Request with details of the other event and your known responsibilities.
